How do I know which version of Access is on my computer?

Go to the Start menu location. If you locate Microsoft Office, then it should include the year in the name.

What is EYSIS?

The Early Years Services Information System (EYSIS) is a program registration and participant-tracking data management tool which uses Microsoft® Access to collect, record and report data on early years programs. EYSIS was developed and is maintained by Mothercraft.

Based on your computer software, the following versions are available:
Microsoft® Access 2010: EYSIS v7.0.accde
Microsoft® Access 2003-2007:  EYSIS_v6[1].1a.mde

What is the difference between the front-end and the back-end in EYSIS?

EYSIS is an Access database made up of the front-end (e.g. forms) and the back-end (i.e. where all the data is stored). The front end (with the file extension .mde in Access 2003-2007 or .accde in Access 2010) is the user interface where participant and program information is entered.  The back end is where all of the data is stored (file extension .mdb in Access 2003-2007 or .accdb in Access 2010).

 

How do I link the front- and back-ends in EYSIS?

  1. Locate the data file (file extension .mdb or .accdb) by clicking on the front-end file (the file that you would use to open EYSIS to input data) to open the database. Click Main Switchboard>Tools Switchboard>Locate data file. Write down the full location and name of the file. Make a copy of the data file somewhere safe. Close the EYSIS database.
  2. Download the front-end file (EYSIS_v6.1a for Access 2003-2007 or EYSIS_v7.0 for Access 2010) via the FTP site. To download the file, select ‘Browse Documents,’ then select the small orange download button.
  3. Save the front-end file on your desktop/server.
  4. Delete the old front-end file which you would normally use, e.g. 'Shortcut to EYSIS_v6[1].1a'’. **This will not delete the data file.
  5. Double-click the new front-end file on desktop/server. You should see the following message: "Failed to connect to the data file! Please click OK button to locate and select data file.'
  6. Click "Ok'. Then browse to the location of the data file (the location of the file that was recorded in step 1), then select the data file by highlighting it. Wait a few moments. Click OK to the security warning message and you should see the database open to the main menu. The front-end and back-end are now linked.

 

When I try to run a query in EYSIS, I receive the following message: "undefined function "strPartCategory" in expression" and am unable to proceed with the query beyond this point. What should I do?

If you receive this error message when adding a query, then please contact us.  It is likely that a 'Module' needs to be added to the back end of your database. We will help to resolve this issue.

 

FTP Site

What is the FTP site?

The File Transfer Protocol (FTP) site is a secure, password protected website where you can share and transfer large files with the DACs. Please contact the DAC for the username and password.

 

How do I send the EYSIS database through the FTP site?

You will need a login and password to access the secured FTP site. Please contact us for login information and if further assistance is required.

  1. Open EYSIS.
  2. From the Main Switchboard, select Tools Switchboard> Locate Data File. The location of your data file will appear in the message box.
  3. Click "Yes" to open the folder in which the data file is saved.
  4. Login to the FTP website.
  5. Select 'Browse Documents'.
  6. Select 'Upload Document'.
  7. Select 'Browse' and locate the data file
  8. Under Document Type, choose default.
  9. Click Add.
  10. Logout of the site.
  11. Please email the DAC once you have uploaded the file so it can be downloaded and removed from the FTP site.

What is the EDI?

The Early Development Instrument (EDI) is a questionnaire completed by Senior Kindergarten teachers in the second half of the school year. It was developed by Dr. Dan Offord and Dr. Magdalena Janus at the Offord Centre for Child Studies at McMaster University in Hamilton, Ontario. The EDI is used by communities nationally and internationally to track how well they are supporting their children’s development.

 

What does the EDI measure?

The EDI is a senior kindergarten teacher-completed instrument that measures children's school readiness for grade one on five domains:

  • Physical health and well-being;
  • Social knowledge and competence;
  • Emotional health/maturity;
  • Language and cognitive development; and,
  • General knowledge and communication skills.
